Position Summary
Reporting to the Academic Department Manager, the Receptionist and Administrative Support Assistant is the front face of the department providing exceptional customer service to our students, faculty, staff, guests and alumni.
The Front Desk is open 5 days per week (Monday to Friday) from 8:00am to 4:00pm.
Duties
- Provides reception for the department of Chemical and Materials Department; directs visitors and responds to or redirects telephone, in-person or email inquiries
- Provides general information to students, staff and/or the general public
- Organizes and maintains the faculty key inventory, which includes signing in/out keys and/or providing access via various key systems, orders new keys, and lock repairs
- Orders and maintains supplies
- Ensures the kitchen servery is clean, organized and stocked
- Processes and delivers mail; prepares large mail outs; sends courier packages
- Sorts and files documents and materials
- Provides administrative support for multiple members of the leadership team, which includes scheduling meetings, monitoring RSVPs, preparing agendas/briefs/packages, taking notes and data entry, P-Card reconciliation
- Assists with special events and professional development programs (i.e. planning; invitations; room bookings; ordering catering; taking payments; processing registrations; onsite support; etc.)
- Ensures office equipment such as printers/copiers are maintained
- Types and formats correspondence, manuscripts and other related documents
- Processes and tracks financial transactions (travel expenses; credit cards; reconciling invoices and billing)
- Other duties as required
Minimum Qualifications
- Minimum 2-year diploma in a hospitality or related field
- Minimum 2 years of customer service or hospitality (front desk) experience
- Computer proficiency using MS Office applications (Word and Excel) and Google Apps (Gmail Drive, etc.)
Preferred Qualifications
- Service-oriented, with proven experience in providing exceptional customer service; demonstrated decision-making and problem solving skills
- Ability to manage time effectively to accomplish assigned tasks
- Knowledge of the University community, campus layout
- Excellent interpersonal, organizational and communication skills (verbal and written), with demonstrated attention to detail and accuracy
