Department/Faculty Summary
The Institute for Stuttering Treatment and Research (ISTAR) is a world-renowned speech-language pathology clinic with professional teaching, training and research responsibilities carried out in partnership with the Faculty of Rehabilitation Medicine.
Position Summary
The position of Receptionist will provide administrative support to a team of eight staff and a yearly caseload of ~400 clients and their families, as well as coverage for the Administrative Assistant. Work requires a motivated individual who is capable of attention to detail in dealing with clients, correspondence, and of providing occasional supervision to institute volunteers
Duties
Administration – 90%
- Answer inquiries, in person, on phone, and over email from potential and current clients, donors, volunteers, speech-language pathology students and practicing clinicians
- Greet clients, donors, students, and visitors
- Compose and prepare routine letters, memos, graphs, and statistics
- Format and proof written materials used for educational, promotional, and clinical purposes
- Facilitate the client registration
- Maintain client records and statistics
- Order and maintain office and clinic supplies and materials
- Assist with monthly billing, record payments received, and monitor client accounts
- Deposit monies received
Communications – 10%
- Assist with composing promotional materials such as printed and electronic articles and advertisements
- Assist with preparing appeal and thank you letters
- Assist with Twitter, Facebook, and other online accounts of the Institute
- Transport, set up and staff the ISTAR exhibitor booth at conferences as needed

Qualifications
- High school diploma supplemented by office administration diploma from NAIT or equivalent;
- 5 years administrative/secretarial experience would be an asset. Equivalent combinations of education and experience may be considered.
- Computer skills using Microsoft Office and Windows-based computer environment, iPad, and basic troubleshooting skills are essential.
- Excellent organizational, time management and interpersonal relationship skills are essential.
- Familiarity with PeopleSoft modules, Advance and University procedures are an asset.
