Department/Faculty Summary
Founded in 1912, the Faculty of Law is the oldest law school in Western Canada. Members of the University of Alberta, Faculty of Law are recognized nationally and internationally as leading scholars and teachers, and lead by example in their service to the university, legal and civic communities. The Faculty enrolls approximately 525 Juris Doctor students and operates a robust graduate program. The Faculty of Law is also home to four research groups that contribute research, ideas, innovation and policy expertise to important areas of public concern: the Wahkohtowin Law Governance Lodge, Health Law Institute, Centre for Constitutional Studies, and Alberta Law Reform Institute.
Position Summary
During the peak period in the admissions cycle, the Admissions Assistant will assist the Law Admissions/Records Coordinator with undergraduate and graduate admissions to the Faculty of Law. Reporting to the Admissions/Records Coordinator, this position is responsible for assisting with the implementation and management of undergraduate student services, including admissions, enrolment, student records and first-year student enrolment/timetabling. The incumbent will assist with graduate admissions and other responsibilities as time permits. The incumbent is responsible for staying up-to-date on Law admissions and enrolment policies and procedures.
Duties
Admissions
- Accesses student information from Slate required for admission, including applications, transcripts from other universities and the University of Alberta, Faculty of Law Supplemental Form and accessing Law School Admission Test (LSAT) scores. Analyzes admissions data and makes recommendations under advisement of the Admissions/Records Coordinator
- Ensures student documentation requirements for admissions are met
- Verifies required documentation has been received and communicates with applicants if documentation is not complete
- Calculate predication indicators for undergraduate student applicants by applying mathematical formulae to their grade point averages (GPAs) and LSAT scores to determine admissibility. Calculation of GPAs includes assessing GPAs derived from grading systems outside the University of Alberta and ensuring applicants meet the requirements for admission to the Faculty of Law
- Processes confirmation forms and deposit cheques and forwards required documents to Shared Services, and updates Campus Solutions with the basis of admission for admitted students
- Assists with the evaluation of applications for readmission
- Assists Admissions/Records Coordinator in matters related to the admissions sections and other pertinent sections of the University Calendar
Student Records, Grades and Convocation
- Ensures electronic student records are maintained and accessed in accordance with Freedom of Information and Protection of Privacy (FOIPP) legislation
- Assists with the annual academic assessment process by assessing student records for academic standing and communicating to students who are not meeting minimum requirements
- Assists with maintaining in-house database of applicants and registered students
- Assists with processing documentation required for appeals
- Assists with monitoring and approving electronic grades by instructors
- Ensures grades are processed accurately and in a timely manner
- Assists with determining graduation eligibility
- Assists with the review of student records for eligibility for academic awards, Dean’s List, First Class Standing, Degree with Distinction
Graduate Programs
- Assists with evaluating the academic background and other required documentation for applicants to determine admissibility, which includes converting grades from other post-secondary institutions (primarily international) to the University of Alberta’s grading system for admission consideration for the Faculty of Law graduate programs
